Introduction

A Japan student visa is the long-term "Student" status of residence that lets students enter Japan, stay legally, and study at a university, vocational school, or Japanese language institution for a course lasting more than 90 days. Your institution in Japan first secures a Certificate of Eligibility (COE) on your behalf, and then you submit your visa application at the VFS Global centre in India.

In this guide, you will find everything you need to know about the student visa required to study in Japan, including eligibility, required documents, processing time, fees, and common reasons for rejection.

Japan Student Visa: Latest Updates

The biggest change to the Japan student visa in 2026 is the stricter Japanese language proficiency check for students enrolling at Japanese language institutions. The Immigration Services Agency revised its rules, and the new requirement applies to students enrolling from the October 2026 intake onwards.

Previously, a certificate showing 150 hours of Japanese language study was enough to prove language ability for a student visa application. However, from the October 2026 intake, students must demonstrate proficiency equivalent to CEFR A1 or above, verified either through a recognised Japanese language test or an interview conducted by the institution during admissions screening.

  • Accepted tests: The Japan Foundation’s JFT-Basic test with an A1 or higher level and the Japanese Language Proficiency Test (JLPT) with an N5 or higher level directly meet the requirement. ISA also provisionally accepts several other tests as equivalent to A1, including NAT-Test (Level 5 or above), the BJT Business Japanese Proficiency Test (300 points or above), and JTEST (F level or above, or 250 points or above at FG level).
  • Progressing to university afterwards: If you plan to progress from a Japanese language institution to a university or vocational school where classes are taught in Japanese, you will ‌need N2-level proficiency or higher to follow the coursework effectively. The language institution ‌alone may not bring you to the N2 level.
  • Who it affects: The new rule specifically targets students enrolling at Japanese language institutions. If you apply directly to an English-medium degree programme at a Japanese university, this particular language proficiency check does not apply to your Certificate of Eligibility (COE) application. However, your university may still set its own English or Japanese language proficiency requirements.
  • Fee change: Japan revised its global visa fee structure on 1 July 2026, the first revision since 1978, increasing the single-entry visa fee for most nationalities from JPY 3,000 to JPY 15,000. Indian nationals are exempt from this increase and continue to pay the concessional fee of INR 500.
  • VFS appointments: VFS Global also ended walk-in visa submissions in Chennai, Hyderabad, Kochi and Puducherry from 2 March 2026. If you apply from any of these jurisdictions, you now need to book an appointment before submitting your visa documents.

Types of Japanese Student Visas

Japan uses a single “Student” (留学, Ryugaku) status of residence for study exceeding 90 days rather than separate student visa categories based on the level of study. It covers universities and graduate schools, junior colleges, colleges of technology, specialised training colleges (senmon gakko), and Japanese language institutions.

  • Student (Ryugaku) visa: Covers full-time study of more than 90 days at any recognised Japanese educational institution. The Minister of Justice sets the specific period of stay, which ranges from 3 months up to a maximum of 4 years and 3 months, based on course length and institution.
  • Temporary Visitor visa: Applies if the course has a duration of 90 days or less, such as a short summer programme, a language immersion course, or an entrance exam visit. This is not a student-specific visa and does not require a COE in most cases.

Expert Insight: Some Japanese institutions and older guidance still refer to a separate "pre-college student visa" for preparatory courses before university admission. This category no longer exists as a distinct visa. It has been merged with the standard Student status, so you do not need to apply for it separately if your preparatory course is under the same institution as your degree programme.

Eligibility Criteria for a Japan Student Visa

You can apply for a Japan student visa once a recognised institution in Japan accepts you and applies for your COE on your behalf. You must also meet academic and financial requirements, which your institution checks before it applies for your COE.

  • Academic qualification: For undergraduate study, you need 12 years of school education, which an Indian 10+2 meets. A master's programme needs a bachelor's degree. A doctoral programme generally needs a master's degree. Japanese language institutions usually ask for 12 years of schooling too.
  • Admission confirmation: A Certificate of Admission from the specific Japanese institution, issued before the institution applies for your COE.
  • Financial capability: Show that you or your financial sponsor can cover tuition and living costs. Study in Japan lists a savings balance certificate, an income certificate for the past year, and documents showing the source of funds. Check the requirements of your institution.
  • Japanese language proficiency: If you enrol at a Japanese language institution, show Japanese at A1 level or above through the JFT-Basic, the JLPT at N5 or higher, or an interview with the institution. If you join an English-taught degree, your university sets its own English requirement, such as IELTS or TOEFL, and may set a Japanese one too.
  • Clean immigration record: A history of visa overstays or immigration violations, either in Japan or elsewhere, can work against the visa application even if every other document is in order.

Documents Required for a Japanese Student Visa

Documents for a Japan student visa come in two stages: the documents your institution needs to apply for your Certificate of Eligibility (COE), and the documents you submit at a VFS Global centre after you receive it.

Stage 1: COE application (your institution applies)

Your institution in Japan will tell you exactly which documents it needs. These commonly include an application form or questionnaire, a passport copy, a photograph, academic certificates, admission documents, and financial documents.

Stage 2: Visa application at VFS

  • Valid passport: Valid for at least six months beyond the intended date of entry into Japan, with a minimum of two blank pages.
  • Visa application form: Filled out and signed, using the current version from the VFS Global or Embassy of Japan website.
  • Certificate of Eligibility (COE): Issued by the Regional Immigration Services Bureau through your institution. An e-COE, printed from the email your institution forwards to you, is also accepted.
  • Certificate of Admission: The official offer letter from a Japanese university, vocational school, or language institution.
  • Photograph: One recent passport-size colour photograph (45mm x 35mm) with a plain white background, taken within the last six months.
  • Financial proof: Bank statements in your name if self-funded, or your sponsor's bank statements and income tax returns if sponsored, along with a signed letter confirming the relationship and the sponsor's commitment.
  • Mark sheets and certificates:Academic transcripts and certificates, translated into English or Japanese if issued in another language.
  • Statement of Purpose: A SOP with a clear explanation of your academic background, why you chose this course and institution, and your plans after graduation.
  • Japanese language proficiency proof: Required only if you are enrolling at a Japanese language institution from the October 2026 intake.

Japan Student Visa Processing Time

Your Japan student visa timeline is divided into two stages: COE application and processing, and Student visa application and issuance. The COE processing takes 1 to 3 months or may take longer, so you should account for the time when planning your intake.

  • Certificate of Eligibility: Your institution usually receives it 1 to 3 months after applying, depending on the season and the office's workload. Wait for your COE before applying for your visa, because applying without one needs many extra documents and can take months. Your COE is valid for three months from the date it is issued, so book your visa appointment and plan your travel within that window.
  • Visa stamping: Once you have the COE, the Embassy of Japan's stated minimum processing time is 5 working days from the date you submit your application at VFS, excluding the day of submission.
  • Peak season buffer: High application volumes, especially before the April and October intakes, can make processing take longer than the minimum. Send your documents to your institution as early as it asks, and book your VFS appointment as soon as your COE arrives.

How to Apply for a Japan Student Visa?

Here is a step-by-step guide for applying for a Japan student visa:

  • Step 1: Secure admission. Apply to your chosen university, vocational school, or language institution and accept your offer once it arrives.
  • Step 2: Institution applies for your COE. Your institution, acting as your proxy, submits your academic, financial, and personal documents to the Regional Immigration Services Bureau to request the Certificate of Eligibility.
  • Step 3: Receive and verify your COE. Once approved, your institution sends you the COE. Check that your name, passport number, course details, and period of stay are all correctly printed before moving forward.
  • Step 4: Book your VFS appointment and submit documents. Apply at the VFS Global centre for your jurisdiction. Book an appointment first if your centre requires one, which is mandatory in Chennai, Hyderabad, Kochi and Puducherry. Bring your COE copy, passport, application form, photograph, admission letter and highest educational certificate (see the documents section), and pay the visa fee and VFS service charge.
  • Step 5: Attend an interview if requested. Most student visa applications do not require an interview, but the Embassy can call you in to clarify your study plans or financial documents.
  • Step 6: Collect your passport with the visa. Once approved, your visa is stamped into your passport, and you can plan your travel to Japan.

Where to Apply for a Japan Student Visa?

You submit your Japan student visa application at a VFS Global Visa Application Centre. The Embassy and consulates accept only diplomatic, official, and special cases directly. VFS ended walk-in submissions at its centres in Chennai, Hyderabad, Kochi and Puducherry from 2 March 2026. Book an appointment there before you apply, and allow time for availability.

The office that handles your application depends on your state of residence, because the Embassy of Japan and its consulates each serve specific states and union territories. If your passport was issued in another state, carry proof of your current residence.

  • Embassy of Japan, New Delhi: Covers Delhi, Punjab, Haryana, Rajasthan, Uttar Pradesh, Uttarakhand, Himachal Pradesh, Jammu & Kashmir, Chandigarh, and the northeastern states.

How to Track Your Japan Student Visa Application?

Once you submit documents for a Japan student visa, you can track the application online through the VFS Global website. Your payment receipt carries the reference number you need for tracking and for any follow-up queries, so store it safely until you collect your passport.

VFS Global also sends a notification once the Embassy has made a decision, after which you can collect your passport in person or through the optional courier service.

Common Reasons for Japan Student Visa Rejection

Most Japan student visa rejections result from a few recurring issues rather than a single major mistake. You can avoid most of these problems with careful preparation and by checking your documents before submission.

  • Weak or inconsistent financial proof: Sudden large deposits, gaps in bank statement history, or an unclear source of funds make it difficult for the Embassy to verify that you can actually support yourself in Japan.
  • Mismatch between your background and your chosen course: If your prior academic record does not connect to the programme you are applying for, your Statement of Purpose needs to bridge that gap convincingly, or the application looks unconvincing.
  • Errors on the COE or supporting documents: Even a minor discrepancy between your passport details and your COE, such as a misspelt name or wrong passport number, can trigger a rejection or a delay.
  • Missing Japanese language proficiency evidence: For language institution applicants enrolling from October 2026 onwards, failing to provide the required A1-level Japanese proficiency proof can put your Japan student visa application at risk of rejection.
  • Past immigration violations: A previous visa overstay, deportation, or visa refusal in Japan or another country can lead to rejection, even if your current application and supporting documents are complete.
